Job Overview

We are seeking a dedicated and organized Healthcare Receptionist / Pediatric Medical Assistant to join our busy pediatric clinic. The ideal candidate will provide exceptional patient service, manage front desk operations, and support clinical staff with administrative and medical tasks. This role requires a professional with strong communication skills, familiarity with electronic health records (EHR) systems, and experience in pediatric healthcare settings. Bilingual abilities are highly valued to effectively serve diverse patient populations. Responsibilities

  • Greet patients warmly and efficiently manage check-in and check-out procedures using EMR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks
  • Verify insurance coverage and perform insurance verification processes
  • Schedule appointments, coordinate patient flow, and manage medical scheduling using office management software like Eaglesoft or Dentrix
  • Collect payments and process medical collections accurately while maintaining HIPAA compliance
  • Assist clinicians with clinical documentation review, intake procedures, and care plan documentation
  • Handle multi-line phone systems with professional phone etiquette, answer patient inquiries, and direct calls appropriately
  • Maintain accurate and organized medical records, including filing and data entry using Microsoft Office or other documentation tools
  • Support clinical staff with basic medical tasks such as CPT coding, ICD-10/ICD-9 coding, and documentation review for billing purposes
  • Ensure compliance with HIPAA regulations and maintain confidentiality of patient information
  • Perform clerical duties including data entry, filing, and managing electronic health records (EHR systems)
  • Assist with front desk operations by managing patient flow, appointment reminders, and patient intake processes in a pediatric setting

Requirements

  • Prior experience in a medical office or clinic environment is preferred; pediatric clinic experience is a plus
  • Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, Eaglesoft, Dentrix, or eClinicalWorks
  • Knowledge of medical billing, coding (ICD-10/ICD-9), CPT coding, and insurance verification processes
  • Familiarity with HIPAA regulations and health information management best practices
  • Strong computer skills including Microsoft Office Suite (Word, Excel) and office management software
  • Excellent patient service skills with professional phone etiquette and compassionate communication abilities
  • Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
  • Bilingual proficiency is highly desirable to serve diverse patient populations effectively
  • High school diploma or equivalent required; additional certification or training in medical assisting or administrative support is preferred
